How to Use Bleanx
What happens when you explore, describe, analyze, and develop your business with Bleanx.
Below is a complete map of the user stories. The main workflow is followed by additional capabilities. Features whose availability depends on the account, plan, or deployment configuration are clearly marked.
1. The user creates a project
As an entrepreneur, I want to create a separate project so that I can begin building a structured picture of my business.
What the user does
The user creates a project, gives it a name, chooses a language, and, if needed, adds an image.
What happens in Bleanx
Bleanx creates a separate workspace and sets up the complete business map within it:
- business areas;
- modules;
- working sections;
- forms;
- analytical matrices;
- financial components;
- connections between related elements.
The user does not need to design the structure of a business plan from scratch. The framework is already built into the system, but it remains empty until the user begins describing their own business.
The result
Instead of a blank document, the user receives a ready-made map of questions, decisions, and relationships that can be developed gradually.
2. The user explores the business map
As a user, I want to see the business as a whole so that I can understand its main areas and the current state of each one.
What the user does
The user moves around the map, opens business areas and modules, searches for specific elements, and applies filters.
Modules can be searched by name, connections can be shown or hidden, and the map can be filtered by status:
- empty;
- in progress;
- completed;
- needs review.
What happens in Bleanx
The map acts as the navigation layer for the entire system. Each element leads to a specific module, while the connecting lines represent meaningful relationships between different parts of the business.
Bleanx monitors the state of hundreds of working sections and reflects the overall progress of the project on the map.
The result
The user sees the business as one connected system rather than a collection of unrelated documents.
3. The user opens a module
As a user, I want to focus on one area of the business without losing sight of how it connects to the whole.
What the user does
The user selects a module, such as the product description, target audience, competitors, sales channels, or financial performance.
What happens in Bleanx
The system opens the module workspace and presents its sections in a logical sequence.
Each section may take the form of:
- text;
- a structured form;
- a table;
- a matrix;
- a financial model;
- an assessment framework;
- a calculated result.
Bleanx also identifies which other parts of the project are connected to the open module and may be relevant as context.
The result
The user works on a specific question while Bleanx continues to treat it as part of the wider business.
4. The user completes a section manually
As a user, I want to record my own knowledge and decisions without having to use AI.
What the user does
The user writes text, completes form fields, or edits values in a table.
What happens in Bleanx
The system checks the structure of the data and saves the changes to the appropriate section.
For forms, Bleanx validates:
- accepted data types;
- required fields;
- available options;
- dates;
- numerical constraints;
- calculated fields;
- dependencies between values.
If the section affects other parts of the project, Bleanx updates its status and identifies any connected areas that may now need attention.
The result
The user remains fully in control of the project’s content and can use Bleanx without relying on AI generation.
5. The user asks AI for help
As a user, I want to describe a task in ordinary language and receive a result that reflects the structure and context of my business.
What the user does
Instead of filling in the section directly, the user writes an instruction. For example:
Describe the main problem the product solves, taking into account our target audience and the alternatives already available to them.
The user then starts the generation.
What happens in the Bleanx AI engine
The user’s instruction does not automatically become part of the section. Bleanx first assembles a request for the selected AI model.
Depending on the task, the request may include:
- the current module and section;
- the purpose of the section;
- its currently saved content;
- the user’s instruction;
- the rules of the specific module;
- the required output structure;
- previously completed sections within the same module;
- information from directly connected modules;
- internal summaries and contextual overviews;
- the project language;
- previous-year data when working on a multi-year forecast.
Bleanx manages the amount of context sent to the model and gives priority to the most important connected information.
What the user sees
While the request is being processed, Bleanx shows the stages of the process—first reading the context, then developing the response.
The completed result appears as a preview. It has not yet been written into the project.
The result
The AI is not responding only to the user’s latest sentence. It is working within a specific part of a structured model of the business.
6. The user accepts, edits, or dismisses the suggestion
As a user, I want to remain in control of AI-generated results so that nothing enters the project without my approval.
What the user does
After a result has been generated, the user can:
- accept the suggestion;
- accept it and continue editing;
- dismiss it;
- revise the instruction and generate another version.
What happens in Bleanx
Until the user accepts it, the generated result exists only as a preview.
When accepted, the system validates the content and its structure again, saves it, and records the source of the change. If the section has already been changed in another window or by another participant, version protection helps prevent newer data from being overwritten without warning.
The result
AI makes a suggestion, but it does not make the final decision. The last action always belongs to the user.
7. The user completes a form with AI
As a user, I want to describe information in ordinary language and have Bleanx place it into the correct fields of a structured form.
What the user does
The user might write:
Our primary market is Germany. The launch is planned for September 2026. Our first customers will be small consulting firms with teams of up to 20 people.
What happens in the AI engine
The model does not simply generate a paragraph. It matches the information in the instruction to the structure of the form and prepares changes for specific fields.
Bleanx validates every proposed change:
- Does the field exist?
- Can it be edited?
- Does the value match the required data type?
- Is the selected option allowed?
- Is the field calculated rather than editable?
- Would the change violate the structure of the form?
The AI may also provide an explanation and a confidence level for individual changes. When the suggestion is accepted, only the relevant fields are updated. All other user-entered data remains unchanged.
Formulas and validation calculations are performed by Bleanx code, not by the language model.
The result
The user gets the convenience of communicating with AI in natural language while the result remains structured, validated, and suitable for further calculation.
8. The user builds a financial and multi-year model
As a user, I want to develop forecasts across several years so that I can understand not only the present state of the business, but also how it may evolve.
What the user does
The user completes financial tables, adds future years, and creates projections manually or with AI assistance.
What happens in Bleanx
When working on a new year, the AI may receive the previous year’s values as a reference point. These values help the model understand the direction of development, but the model cannot modify them.
After a result is accepted, Bleanx:
- validates the entered values;
- recalculates formulas;
- updates subtotals;
- checks balancing relationships;
- displays calculated values separately from editable ones.
The result
The financial model remains a calculation system, while AI assists with assumptions and the preparation of input values.
9. The user enables web search
As a user, I want to supplement the project with current external information when the internal business context is not enough.
This capability is available for eligible sections when web search is enabled.
What the user does
Before generating a result, the user explicitly enables web search.
What happens behind the scenes
Bleanx creates a short, safe search query based on the current task. Only a limited formulation is sent to the external search provider—not the user’s entire project.
The returned materials are treated as external and potentially unreliable sources. Their volume is limited before they are provided to the AI model as additional context.
What the user sees
Bleanx displays the web sources used alongside the generated suggestion so that the user can review them independently.
The result
External information can enhance the project, but it is not mixed into the user’s data invisibly or saved without approval.
10. Bleanx maintains connections between modules
As a user, I want changes in one part of the business to be reflected in other related areas.
What the user does
For example, the user changes the target audience, value proposition, or revenue model.
What happens in Bleanx
After the change is saved, Bleanx identifies related sections and updates its internal representation of the changed module.
If the existing content of another section was based on information that has now changed, the system may mark that section as needing review.
At the same time, Bleanx:
- does not delete the existing content;
- does not rewrite it automatically;
- does not start a hidden generation;
- keeps the previous result visible.
The next time the user asks AI for assistance, the updated context can be included in the new generation.
The result
The map remains connected and responsive to change, while the user decides when existing conclusions should be reconsidered.
11. The user refreshes research questions
As a user, I want to understand which questions require further research after the project changes.
What the user does
The user opens the relevant module and starts a refresh.
What happens in the AI engine
Bleanx first checks which parts of the project have actually changed, without involving AI. It then refreshes the context only for outdated areas and generates the research questions in sequence.
Unchanged parts of the project are not processed again unnecessarily.
The result
The user receives an up-to-date list of uncertainties and areas for further investigation based on the current state of the business.
12. The user starts guided progression
As a user, I want to move through the business map step by step so that I do not have to decide where to begin or what to work on next.
What the user does
The user starts Play Mode, Bleanx’s guided completion experience.
What happens in Bleanx
The system checks the current state of the project and identifies the first incomplete section in the intended sequence.
After an AI-generated result is accepted, Bleanx checks the latest state of the section again:
- if the section is complete, the next incomplete step opens;
- if a form is only partially complete, the user remains in that section;
- if the data has been changed in another window or by another participant, the system takes the new state into account.
Play Mode does not generate answers or save data automatically. It manages navigation only.
The result
Working with a large business system becomes a clear sequence of steps—almost like completing a quest through the user’s own business.
13. The user opens the complete module result
As a user, I want to read a completed module as a single document instead of moving between individual fields.
What the user does
The user opens the module’s complete result view.
What happens in Bleanx
Bleanx brings the module’s sections, text, forms, tables, and calculated values together into one continuous presentation.
From this view, the user can return to a specific section, continue editing it, move to the previous or next module, or export the module’s result.
The result
Structured work becomes a coherent, readable outcome without losing the detail behind it.
14. The user opens the Journal
As a user, I want to see how the project has evolved and understand how its decisions were formed.
What the user does
The user opens the Journal, reviews the history of the project, and adds personal notes when needed.
What happens in Bleanx
The timeline may include:
- manual changes;
- accepted AI suggestions;
- context updates;
- system events;
- changes made by team members.
The Journal preserves not only the current state of the project, but also the path that led to it.
The result
The user can follow the development of an idea and understand where particular decisions came from.
15. The user asks Bleanx a question
As a user, I want to ask where particular information belongs or how a specific part of the system works.
What the user does
For example:
Where can I describe our main competitors?
or:
How is the value proposition different from the product description?
What happens behind the scenes
In its default mode, Bleanx answers using the product’s structure and its own knowledge base. The contents of the user’s business project are not sent to an AI model.
When AI mode is available and enabled, the selected model receives the question and a limited list of relevant sections. It cannot invent a section that does not exist—the answer must refer to the actual structure of Bleanx.
When web mode is enabled, only a sanitized version of the question is sent to the external search provider. Business-plan values, internal instructions, and private project context are excluded.
The result
The user receives an explanation and links to relevant sections of the map, which can be opened directly.
16. The user invites a team member
As a project owner, I want to work on the business with other people while maintaining control over access.
Team capabilities depend on the account and deployment configuration.
What the user does
The owner invites someone by email. The recipient accepts the invitation and joins the project.
What happens in Bleanx
Participants work with the current shared state of the project and can edit the areas available to them.
At the same time:
- the author of each change is recorded;
- participant contributions appear in sections and the Journal;
- each participant uses their own selected AI model;
- AI usage and allowances belong to the individual user;
- version protection reduces the risk of parallel changes being overwritten without warning.
When access levels are enabled, the owner can allow or restrict entire areas of the map for individual members. Restricted data is not only hidden from the interface, but also excluded from the context of that member’s AI requests.
The result
The team works with one shared picture of the business while preserving authorship, individual AI settings, and access boundaries.
17. The user publishes part of the project
As a project owner, I want to share selected parts of the business map without giving people access to the working project.
This capability depends on public access being enabled.
What the user does
The owner enables public access, selects specific modules, and creates a public link.
What happens in Bleanx
Bleanx creates a safe public representation of the selected part of the map. It does not include:
- private modules;
- internal instructions;
- personal information;
- project settings;
- editing capabilities;
- AI tools.
The public view can preserve the selected theme, accent color, language, and map style.
The result
Instead of sharing a file or a static business plan, the user shares a controlled, interactive representation of selected areas of the business.
18. The user manages multiple projects
As a user, I want to keep different companies, products, or ideas separate so that their data and context never become mixed.
What the user does
The user creates additional projects and switches between them.
What happens in Bleanx
Each project has its own:
- map;
- content;
- history;
- context;
- team;
- settings;
- module states.
When the user switches projects, Bleanx clears the context of the previous project and loads the data of the selected one.
The result
The user can develop several businesses or scenarios within one account while keeping them independent.
19. The user selects an AI model
As a user, I want to choose an appropriate AI model so that I can control the quality, speed, and cost of generation.
What the user does
The user selects one of the models available to their account.
What happens in Bleanx
The selected model becomes a personal user preference and is used for subsequent requests. Different participants in the same project can use different models.
If a model is unavailable or has been disabled, Bleanx reports the problem instead of silently switching to another model.
The result
The user knows which model prepared the result and remains in control of the AI being used.
20. The user personalizes the workspace
As a user, I want to adapt the workspace to my language and visual preferences.
What the user does
The user selects:
- a language;
- a light, dark, or alternative theme;
- an accent color;
- a connection style;
- a preferred map presentation.
What happens in Bleanx
The selected language affects more than the interface. It also affects section names and the natural language used in AI-generated results. Internal identifiers, formulas, and data structures remain stable.
The result
Visual and language settings do not change the project’s underlying logic, but they make working with it feel more natural to each user.
21. The user controls AI usage
As a user, I want to understand how much AI capacity is available so that I do not encounter hidden charges or an unexplained reduction in result quality.
The availability of subscriptions, payments, web searches, and additional usage depends on the billing configuration.
What happens
Bleanx tracks the use of AI and web search. Before processing a request, the system may check the user’s available allowance.
If the allowance has been exhausted, the request is stopped explicitly. Bleanx does not silently switch to a free or less capable model.
When payments are enabled, the user can access an available plan or purchase additional usage.
The result
AI consumption remains transparent and connected to the user’s actual actions.
